What are the payment options for Re:discovery Proficio?

The software is priced by the number of concurrent users and the number of modules (Collections, Library Archives, Archaeology, or the Internet Interface) purchased. There are additional fees with customizations and these are priced on an individual basis.

There are three ways to purchase Proficio:

  • Purchase the concurrent-user license fee in full and pay the monthly support fees on a yearly or monthly basis. In this instance, you own a perpetual license and are entitled to support and all future upgrades.
  • Select a usage-only license and pay only monthly fees. Support costs are included in the monthly fee.
  • Purchase the software over a three-year period in a flexible-payment plan. In this instance, the buyer already has the product in possession at the beginning of the three years.

*Note: If a data conversion is needed, it might require an additional upfront cost and this is addressed in the next two questions.

Can we import our current collections records to Profico?

Yes, in many cases, with Proficio's Import tool clients can import their data rather than pay for a data conversion. Sometimes when data can't be easily exported from the current software product, the Re:discovery staff must do the conversion.

Does Re:discovery do data conversions?

Yes, we can assist with getting data out of a former system and into Proficio if it can't be done using Proficio's Import tool. Since each situation is different, we quote data conversions individually, based on the time our programmers anticipate spending on the conversion. After seeing a small data sample, we can give a fixed-price quote.

Can we customize Proficio?

Clients can make many changes to Proficio to fit their collection, such as creating custom reports, modifying field labels, field types, and changing and adding to lexicons and authority field selections.

How much do you charge to customize Proficio?

Re:discovery can make more extensive customizations to the system and we are happy to help with this. There are associated fees of $150 per hour. Re:discovery Software will give a fixed-price quote in advance based on the time anticipated.

What services does your support plan include?

Clients can call our support team anytime during regular business hours (Monday-Friday 9:00 a.m. to 5:00 p.m.) and can also email or fax us. Support payments also cover software upgrades. For an initial period of 90 days after installing Proficio, support is free.

How much is the monthly support fee?

Support fees are based on a percentage of the initial concurrent-user license fee. The current cost for support is 1.5% of that initial license fee. The support fee may be paid monthly, quarterly, or yearly. If a product is customized there is an additional monthly charge of .5% of the extra customization fee.

Do you offer training?

Yes, new clients receive a training session included with purchase. We can also train clients either on-site or remotely via phone and internet. We charge $125 per hour for on-site training, plus reimbursable travel expenses and $100 per hour for remote phone/web-based training.

What are some features in Proficio that differentiate it from many other products?

Here is an abbreviated list of benefits/features of Re:discovery Proficio:

  • Users find information quickly and easily in Proficio. All data is readily accessible, browsed, and searched.
  • Users need minimal training for current and future users because Proficio has such an intuitive user interface.
  • We don't require a dedicated full-time database system administrator to manage the IT end of our product, because you simply won't need it.
  • Administrative users can customize the system to fit the institution's needs. For example, they can change field labels on catalog screens and create custom directories or collections of records.
  • Find what you are looking for quickly with the global key-word search and then save the search results for future use. There are numerous searching and filtering features in Proficio.
  • Create custom reports without extra training. Whether it’s a condition, an exhibit, or a location report, you can create it on the spot. There are also standard reports included with Proficio that are ready to use.
  • To see collections data in a spreadsheet, or to publish key information online, or for any reason, clients can import and export data into and out of other file types such as Excel, HTML, PDF, XML or plain text.
  • Track the history of objects automatically with condition reports, appraisals, location, exhibits, etc. Each time you update this supplemental information, the system will include the previous information as well as the new update on the same screen.
  • Archivists can catalog hierarchically beginning with the collection level all the way down to the item level.
